Rental Procedures

The following is some general information regarding our policies and procedures. This information answers some of the most common questions we receive from clients and we hope the information will be especially helpful to first time renters. Always refer to your Rental Agreement for clarification about your special event rental. If you have additional questions, just give us a call!

Reservations

Quotations do not guarantee availability of rental equipment. Equipment will be reserved only upon receipt of a signed Rental Agreement and a 50% deposit. Final payment is due on or before the day of delivery. 

Cancellations or Changes

When a client reserves a tent or other equipment, we remove these items from our available inventory. These items are held for your special event only! Therefore, any cancellation made within four (4) weeks of the event date will be charged 50% of the total rental charges. Additions made up to the day before delivery are welcome, subject to availability.

Responsible Renter

One individual must be designated to sign the Rental Agreement and be responsible for all rental dealings. This individual should be present to meet our crew on the day of installation to correctly spot the location of the tent. 

Installation of Tent

We take great pride in the quality, safety and appearance of our tents. Therefore, it is our strict policy that all installations and takedowns are done by our experienced crews. All prices quoted will include these services. It is important that the renter has cleared the installation area of obstructions before our crew arrives onsite. 

Underground Pipes

It is the renter's responsibility to mark and advise us of any underground utility lines, pipes, cables, sprinkler systems, etc. Most tents are secured with 3 foot long iron stakes around the perimeter of the tent. If you do not know the location of your underground pipes, you may call Pennsylvania One Call at 800-282-7411.

Weather

By design, tents only provide limited protection from weather, namely sun and rain. For the safety of your guests, always evacuate a tent during severe weather, especially when there are high winds and lightning. Tents are temporary structures and can be damaged or blown over in extreme circumstances.

Permits

Some cities and towns require a permit for the use of a tent within their boundaries. It is the renter's responsibility to check with the Building Permit and Fire Departments several weeks prior to the installation date to see if a permit is required.

Delivery & Pick-up

Deliveries or pick-ups outside of our normal schedule must be arranged in advance and additional charges may apply. The event site must be accessible to our delivery trucks and standard pricing includes transport of equipment not over 50 feet from our trucks. Tables and chairs will be delivered in stacks for the renter to set up. Set Up of Tables & Chairs can be added for an additional fee. Delivery fees are determined by delivery type, order size and zip code - please call for exact rates.
